Client Overview

Headquartered in Austin, Texas, Royalty Clearinghouse acquires oil and gas royalties across the United States. Since its founding in 1999, it has amassed more than 20,000 assets and continues to expand its portfolio in key regions including the Bakken, Barnett Shale, Eagle Ford, Eaglebine, Fayetteville, Granite Wash, Haynesville, Marcellus, Monterey, Niobrara, Permian Basin and Woodford. Royalty Clearinghouse distinguishes itself through exceptional, client-centric service that prioritizes education and offers each seller the most competitive offer.

Challenges

Managing Minerals at Scale and Auditing Multiple Funds

Royalty Clearinghouse manages a vast array of assets across twelve mineral funds, receiving a flood of monthly revenue statements from hundreds of operators. The sheer scale of their mineral and royalty holdings, combined with inconsistent formatting from operators, creates significant hurdles for routine monthly accounting. These challenges extend to auditing revenue and ownership data, making it difficult to identify underpayments and new wells on their properties that aren’t generating income.

The company had customized a CRM system to manage their acquisition pipeline and handle basic post-purchase asset management. However, this system lacked integration with revenue, production and land data. As a result, staff had to navigate multiple disconnected systems to create reports, causing delays in time-sensitive analyses. Royalty Clearinghouse aimed to dramatically reduce the administrative costs of revenue data entry while streamlining their audit and tax preparation processes.

Solutions

Powering a Best-in-Class Minerals Portfolio

Over the years, Enverus has collaborated closely with Royalty Clearinghouse to identify the optimal mix of data and cloud-based software to meet its growth objectives. As an early adopter of MineralSoft, Royalty Clearinghouse has been leveraging Enverus’ comprehensive mineral management solution for seven years, spanning land, accounting, portfolio management and audit functions. One of the standout features is the new revenue delivery capability provided through integration with EnergyLink®. This integration automatically imports in-network operator revenue data into MineralSoft, while out-of-network revenue statements are scanned, uploaded and converted using Enverus’s double-keying data entry service. This combined approach ensures that for most Royalty Clearinghouse employees, all revenue details are consolidated in one place—seamless and efficient. MineralSoft allows revenue details for multiple portfolios to be managed from a single account, enabling Royalty Clearinghouse to efficiently track its twelve mineral funds from one centralized location. MineralSoft also equips Royalty Clearinghouse with powerful visualizations to support targeted audit efforts on its vast volume of revenue and ownership data for potential underpayments. This includes comparing publicly reported production values to those on revenue statements, as well as verifying prices on statements against publicly reported commodity prices. Mapping ownership acreage allows Royalty Clearinghouse to identify any new wells drilled on or near their mineral assets. Additionally, MineralSoft offers workflows to help verify correct ownership decimals and notify users about new wells being drilled via daily email alerts.

By integrating its data warehouse with MineralSoft, Royalty Clearinghouse combines critical acquisition and revenue data for more efficient analysis. This integration enables better audits and significantly improves the quality and simplicity of annual tax return preparation.
