Headquartered in Houston, GulfMark Energy is a crude oil first purchaser serving operators across the country with a fleet of more than 200 bulk commodity haulers. It also provides back office support services that include distribution of royalty interest payments and severance tax filing on behalf of operators and management of owner relations. In its mission to keep operators and owners happy, GulfMark Energy must maintain accurate records to ensure obligations are met and owners are paid in a timely manner based on records filed across dozens of county courthouses.
Because mineral and royalty ownership regularly changes as owners sell all or part of their interest and as mineral interest is split through inheritance, GulfMark Energy’s land team strives to be proactive in identifying these changes. To this end, staff routinely contacted operator land personnel for updates and documentation. This process required extensive time each week to identify ownership changes, delaying other internal workflows and requiring external operator personnel to devote their time. GulfMark Energy wanted to better leverage the time of its employees and customers while accelerating ownership due diligence, keeping records up to date and eliminating risk from missed obligations.
GulfMark Energy partnered with Enverus to solve its land records management challenge. The crude first purchaser selected Enverus Courthouse, a cloud-based digital document clearing house for records from 150 county courthouses.
Courthouse delivers instant access to every Texas county where GulfMark Energy’s operations are largely focused. This enables its land team to proactively search for the latest recorded ownership conveyances, death certificates, probate filings and other relevant legal instruments by survey, section, lot or block. This streamlines the process of updating pay decks and sending division orders for signatures. Courthouse also helps GulfMark Energy fill in any gaps in its land files with digital deeds, assignments and other documents instead of managing paper records.
Staff in GulfMark Energy’s land department report that they save up to eight hours each week by leveraging Enverus Courthouse’s easy to search digital records instead of manually tracking ownership changes with customers over the phone and e-mail. In turn, this has allowed the land team to redirect hours of time each week into higher value analysis and projects. This has enabled GulfMark Energy to simplify and accelerate owner relations due diligence, meet obligations to interest owners and operators and ensure payments are accurate and timely.
